The problem
The answer is always “I think so.”
Is the counter back from Chicago? I think so. Do we have enough brochures for Vegas? I think so. Is that the current graphic? I think so.
Nobody is being careless. It is that the whole record is one person remembering, and the one thing you cannot do with a memory is check it. You find out which “I think so” was wrong at 7am on the floor, with the doors about to open.
Last day of install, and the television was wrong. Or it never shipped. Or the mounts did not. Nobody could tell me which, because nobody had a record of what left the warehouse in the first place.
So I walked out of the hall, found the nearest Best Buy, bought one off the shelf, and carried it two miles back through the convention center on foot. It went up about twenty minutes before the doors opened.Nobody could answer a simple question, so somebody had to go buy the answer.
What we do
We store it, prep it, ship it, and get it back.
Four moves, one record underneath all of them.
Store
Everything in one place, received, measured, photographed, labeled. You can see all of it without calling anyone.
Prep
We pull it, check it against the record, and flag what will not survive another cycle before it becomes your problem on the floor.
Ship
Packed, labeled, manifested, booked. Tracking lands in your account so you are not chasing a carrier rep for a status.
Return
Inspected, damage documented, counts reconciled, back on the shelf ready for the next one.
Who it is for
If it goes out again, it belongs here.
Six or more events a year, with the same inventory cycling through all of them. Trade shows are the core of it, but a roadshow kit, a conference booth, and a field marketing case behave exactly the same way.
Exhibit houses are built around custom and crated systems, and they are good at it. Loadout is built around the portable inventory that cycles between events. Different job, different building.
Stays with whoever built it
Your experiential agency built it, or your exhibit house crated it. Either way it is theirs to hold.
- Custom exhibits Built for you, one of one
- Custom counters Millwork, built in, not cased
- Modular systems Crated systems they own
- Raised floors Decking, subfloor, carpet
- Anvil cases Heavy road cases with the build
- Hanging structures Signs, trusses, rigging
Comes to Loadout
Anything portable that goes out, comes back, and goes out again.
- Pop-up displays Back walls, tension fabric
- Banner stands Retractables, flags, towers
- Portable counters The kind that ships in a fiber case
- Totes and bins Swag, samples, tablecloths
- Literature Brochures, print, handouts
- Monitors and AV Screens, mounts, cabling
- Hanging sign cases The case, not the rigging
- Furniture and decor Anything that folds or nests
You will recognize yourself here
- You exhibit regularly and the same inventory cycles through multiple events a year.
- Nobody owns it internally. Event logistics is the third job of someone hired to do something else.
- Your stuff is spread out across an exhibit house, a storage unit, and someone's office.
- You want one invoice and one person who knows your program.
- You want to know where things are without sending an email to find out.
I spent years working teardown for a general contractor. The same question came up at every show, from exhibitors of every size. Where does this go now? Home, storage, or straight to the next one, and nobody could tell me.
I always wished I had one company to hand them. They were solving the same problem at every event, one event at a time.
Founding clients
We are taking ten. We would like one of them to be you.
Loadout opens in 2027, and the first ten companies through the door build this with us. Not a waitlist. Ten clients who get in before anyone else and get treated like it for as long as they stay.
Roughly $1,950 of your first year is covered, and there is no contract to sign for it. See what a program costs.
We build your inventory for free
Every item unpacked, counted, measured, photographed, labeled, and built into a record from nothing. Normally $1,250 and up. For the first ten it is zero, in whatever condition it turns up.
Your first event is free
The whole cycle. Pull, condition check, prep, pack, label, manifest, book, and the return inspection. Normally $395 to $700. Run a real show through us before you have paid us anything.
You get us at ten clients
Not at fifty. You help decide what gets built next, and when something goes sideways on a Friday you are one of ten people we are looking after rather than one of a hundred.
Reserving costs nothing and nothing gets signed until we open. If we are not right for you, we will say so.
The promise
Storing it is the easy part.
Plenty of people will hold your inventory. Your exhibit house will, your agency will, a storage unit will. What none of them are built to do is tell you what is in there, what shape it is in, and whether it is ready to go out on the 14th. That is the part we built a company around.
We like our evenings too. That is most of why the system exists.
