A monthly that keeps your program ready. A fee when we run an event. A fee when we ship something between events. And the freight itself.
Every number is approved by you before the work happens. You will never open a bill and have to reconstruct how it got that big.

Your monthly
One number, every month
Built from what you storeIt covers the storage your inventory occupies, the system it lives in, your portal access, and having someone who knows your program on the other end of an email. It is built from what you actually store rather than picked off a tier chart, which is why there is no table here: yours would not match it. We work it out on a short call and it does not move after that.
Sending us things
Free, no monthly limitReceiving is anything arriving that we did not send out. A printer drop, a swag reorder, a case coming back from somewhere that is not us. Tell us it is coming and taking it in, counting it, and shelving it costs nothing. Turning up unannounced turns it into a guessing game, so those get handled case by case.
02 / Per event
Deployments
Pulling your items, checking condition against the record, prep, packing, labeling, manifesting, booking the freight, and the return inspection when it all comes back. Which tier applies is settled when the request is created and approved by you before anything moves.
Light deployment
$395A small setup. A tabletop, a couple of banner stands, a drape. It goes out in boxes and comes home in boxes.
Standard deployment
$700A full booth cycle. This is the standard case, and most events land here.
Freight and packing
+$175Added when the shipment moves as palletized or crated freight rather than parcel. Freight is a different job, not a bigger one.
Test build
$325 to $1,250Setting your booth up in our warehouse before it ships so you find the missing bracket here instead of in a convention center at 7am. Priced on the size of the build. Ask for one any time, with a deployment or on its own.
03 / Between events
Supply shipments
Anything going out that is not an event. A rep needs literature. A regional office needs a banner stand. A customer needs a sample kit. Priced on how much work the pick actually is, never on how many units leave the building.
Simple
$175A short pick list. Five hundred brochures off one shelf is still a simple pick.
Standard
$295A mixed pull across several different items.
Complex
$475A long, varied list that takes real time on the floor.

Shipping and materials
What it costs to move
Quoted per shipmentFreight, crates, packaging, and anything we buy on your behalf are billed at Loadout's rate, which covers the carrier cost and the work of arranging, booking, and chasing it. You approve the number before anything ships.

Getting started
Free for founding clientsUnpacking, counting, measuring, photographing, labeling, and building your inventory from nothing. Normally $1,250 and up depending on how much shows up and what state it is in. For the first ten clients it is zero, however it arrives. Your first event is on us too.
Service Requests
$125/hr, 2 hour minimumHourly work that is not an event and not a shipment. Seasonal graphic swaps, re-kitting, relabeling, an audit, photographing your inventory for a proposal. You approve a range before we start and we do not go past the top of it without coming back to you.
Rush
25% on top of the deploymentApplied under five business days notice, when a request displaces scheduled work. We would rather tell you no quickly than say yes and miss. There is no peak season pricing, because our capacity is not your problem.
Canceling an event
Free until we pullFree right up until your items come off the shelf. Once it is pulled and being packed, 50% of the deployment fee, because the work has already happened.

What would this actually cost you?
Tell it roughly what you own and how often you go out. It works out your monthly, your deployments, and a realistic year. Nothing is sent anywhere and nobody is emailed.

Careful, that might be double counted. A skid usually already has the back wall and the cases stacked on it. Count the skid or count the pieces, not both, or your number will come out high.

of that is covered if you come in as a founding client.
An estimate, not a quote. Freight is the biggest variable here, and this tool assumes about $1,100 an event, which is a mid-range domestic round trip. Yours could land well under or well over depending on where you are going. Your real numbers come out of a fifteen minute call.
The details
How billing works
- Invoiced monthly on the 1st. Net 15.
- Your invoice builds live. Look at it any day of the month, not just when it lands.
- Approval before work. Every deployment, shipment, and Service Request is quoted and approved before it starts.
- Founding rates hold. Whatever we agree on is your number for as long as you are with us.
- No per item charges. You are billed on the work, not counted at the door.
Nothing is signed until we open in 2027. Reserving a founding slot holds your place, your free setup, and your first event on us until then.
